WhatsApp Business AI Agent: Setup Guide for Small Businesses
Set up Meta Business Agent in the WhatsApp Business app, understand the free allowance, and use quick replies, labels and catalogue before paying for an API.
Published 1 October 2026
Most small businesses in India already run on WhatsApp. Customers ask for prices, timings, stock and directions, often late at night, and the owner or one staff member answers the same questions all day. Since May 2026 the free WhatsApp Business app has had a built-in AI assistant that can take the first pass at those chats.
This guide covers what the assistant does, what it costs, the free features to set up before you switch it on, how to configure it safely, and the point at which a paid WhatsApp Business API provider starts to make sense.
What Meta Business Agent is
Meta launched the assistant in India on 14 May 2026 under the name Business AI. It now appears in the app as Meta Business Agent. It lives inside the regular WhatsApp Business app, so there is no coding, no separate software and no API account.
According to Meta’s product pages, the agent can:
- answer basic questions such as business hours and location;
- answer questions about specific products or services, including discounts, payment and shipping;
- recommend products or services from your catalogue;
- ask customers questions on your behalf, so you capture leads with their requirements;
- book appointments.
At the India launch, Meta said the feature was available in Indian languages. That matters for a kirana supplier in Indore or a salon in Coimbatore whose customers type in Hindi, Tamil or Hinglish. Still, test it with the exact kind of messages your customers send, because mixed-script and slang-heavy chats are where AI replies most often go wrong.
What it costs
The app is free, and the agent is free up to a monthly allowance of AI replies. Beyond that allowance, more replies come through Meta One, a paid subscription Meta launched on 15 September 2026. Current listing: Free App is free. Business Agent AI replies are free up to a monthly allowance; more via optional Meta One plans (from USD 14.99/mo globally; INR price not published).; indicative, checked Sept 2026
Two honest caveats. First, Meta’s public pages did not show Indian rupee prices for the business tiers, or the exact size of the free allowance, at the time of writing, so check the offer inside the app. Second, Meta says eligible new subscribers may get a short free trial. Meta One applies only to the WhatsApp Business app; it does not change pricing on the WhatsApp Business Platform (the API).
The sensible approach is to start on the free allowance, watch how many chats the agent handles in the first month, and only then decide whether a paid plan is worth it.
Set up the free basics first
The agent answers from what is already in your account. If your profile is half-filled and your catalogue is empty, it has little to work with. Spend an hour on these first.
- Business profile. Add your logo, a short description, the full address with a landmark, opening hours and website. “Where are you?” and “Are you open on Sunday?” are questions almost every shop hears daily, and the agent can only answer them if the profile is complete.
- Catalogue. Go to Tools → Catalogue. Add each product or service with a clear photo, price, short description and item code. Group items into collections, for example “Cotton sarees” and “Silk sarees”, or “Health check packages” for a diagnostic lab. Meta lets you share catalogue links on WhatsApp, Facebook and Instagram, and the agent can recommend items from it.
- Quick replies. Go to Tools → Quick replies and save the answers you type again and again: UPI and bank details, delivery areas and timelines, return policy, directions, and how to place a bulk order. Give each a short keyword such as “upi” or “delivery”; typing “/” in a chat brings up the list. Quick replies stay useful after the AI is live, because staff who take over a chat can still answer in seconds.
- Labels. Use labels to track where each chat stands: New enquiry, Quote sent, Pending payment, Paid, Delivered, Follow up. The app includes a few default labels, which you can rename to match your process. Filter by “Pending payment” every evening and you will stop losing money in scrolled-away chats.
- Greeting and away messages. A greeting welcomes first-time customers; an away message replies outside business hours. Review both once the agent is live, so customers do not get overlapping automatic replies.
- Linked devices. Meta allows up to 10 devices and agents[src] on one account, so the counter, the godown and the owner’s phone can all answer from the same number.
Setting up Meta Business Agent step by step
Menu names can differ slightly by app version and rollout stage, but the flow looks like this.
- Update the app from the Play Store or App Store.
- Open Tools and choose Meta Business Agent. At the India launch the option was called “Your Business AI”. Follow the guided steps and confirm.
- Choose what it learns from. Meta says the agent can learn from your past chats, your Facebook Page and your website, and you can add your catalogue or upload price lists and documents. Upload a clean, current price list. Old PDFs with outdated rates will produce outdated answers.
- Write down the rules. In the information you give it, state clearly what it must not do: promise delivery dates you cannot keep, offer discounts beyond your standard ones, quote for custom or bulk orders, or give medical or legal specifics. A clinic’s assistant should share timings and fees, never diagnose.
- Choose the audience. Meta lets you pick everyone, only new customers, or customers who arrive from your ads. Starting with new customers or ad traffic is a low-risk first step, because regulars who expect to hear from you personally will not suddenly meet a bot.
- Set the handover. Decide when the agent should pass a chat to you: complaints, refunds, wholesale enquiries, custom quotes, and anything it is unsure about. You can step into any chat at any time, and you can switch the agent off entirely.
- Test it from another phone. Ask it the questions your customers really ask, in their language: “Last price kya hai?”, “COD milega Nagpur mein?”, “Sunday ko open ho?”. When an answer is wrong, rewrite it. Meta says your corrections update future responses.
Running it well: a weekly routine
An AI assistant is not “set and forget”. Ten minutes a week keeps it accurate.
- Read a sample of AI-handled chats every week. Look for wrong prices, invented promises and customers who gave up.
- Update the knowledge the same day prices change. If your price list changes every Diwali season, the agent’s source material must change too.
- Keep people on money matters. Final price negotiation, credit, refunds and disputes should reach a human quickly.
- Tell customers it is an AI assistant. One line in your greeting is enough, for example: “Our AI assistant replies first; a team member joins for orders and complaints.”
- Treat chat data carefully. Customer names, numbers and requirements are personal data under India’s DPDP Act. Read the plain-language guide to the DPDP Act and AI tools before you scale up.
Honest limits of the free app agent
The built-in agent is a strong starting point, but it has clear boundaries.
- It only knows what you give it. Missing or stale information leads to vague answers or unnecessary handovers.
- It stays inside the app. It does not read your billing software, stock levels or courier status, so it cannot answer “Where is my order?” from live data.
- No automated notifications from other systems. Order confirmations, payment reminders from your accounting software or appointment reminders from clinic software need the API.
- Meta controls the terms. The free allowance, features and pricing can change. Do not build your whole sales process on a free tier you do not control; keep your quick replies, catalogue and customer list in good shape regardless.
When a WhatsApp Business API provider is worth it
For most single-location shops, clinics, salons, tutors and service businesses, the app plus Meta Business Agent is enough. Consider the WhatsApp Business Platform, usually through a Business Solution Provider (BSP), when one or more of these is true:
- You need messages triggered by other software: order confirmations from Shopify, payment reminders from your accounts, appointment reminders from your clinic system.
- You run regular campaigns to large, opted-in customer lists and need approved templates, delivery reports and segments.
- Several staff need a shared inbox with chat assignment and reports.
- You want an AI agent connected to your own data, such as orders, stock or CRM records.
Costs come in two layers: the provider’s plan, and Meta’s charges per delivered template message. Meta does not charge for service replies inside the customer service window, which reopens each time the customer messages you. Marketing, utility and authentication templates are generally charged per delivered message, at rates that vary by country and category.
- Meta’s own charges (Cloud API): ₹115–₹863 (usage-based) (free tier available) Per 1,000 messages (Meta INR rates, India): utility/auth ₹115 (₹0.115 each), marketing ₹863 (₹0.8631 each). Replies in the 24h service window free per Meta docs; recheck. GST not stated.; indicative, checked Sept 2026
- AiSensy (Indian, has a free plan without broadcasts): ₹1,500–₹9,100/month (free tier available) Free Forever plan (no broadcasts); Basic ₹1,500 to Premium ₹9,100/mo, 10% off yearly. AI Agent add-on ₹1,350/mo. Meta msgs extra via AiSensy: mktg ₹1.09, utility ₹0.145. GST not stated.; indicative, checked Sept 2026
- Interakt (Jio Haptik): ₹1,999–₹3,499/month Growth ₹2,499, Advanced ₹3,499/mo +taxes (₹1,999/₹2,799 billed yearly). AI Agents add-on ₹2,499/mo. Meta msgs extra with Interakt markup (India mktg ₹0.949-0.970/msg).; indicative, checked Sept 2026
- WATI: ₹2,199–₹18,499/month India: Growth ₹2,999, Pro ₹6,499, Business ₹18,499/mo; about 25% less billed yearly (₹2,199-14,799). AI add-ons extra. Meta msgs per WATI rate card. GST not stated.; indicative, checked Sept 2026
- Gupshup self-serve (no monthly fee, pay per message): ₹96 (usage-based) Per 1,000 messages: Gupshup fee USD 0.001/msg (₹96 per 1,000 at ₹96/USD), no monthly fee, plus Meta per-message rates at actuals. Enterprise on quote. GST not stated.; indicative, checked Sept 2026
- DoubleTick (WhatsApp CRM with an AI plan): ₹3,000–₹5,200/month Starter ₹36,000/yr (₹3,000/mo) or ₹10,500/qtr; Pro + AI ₹50,400/yr (₹4,200/mo) or ₹15,600/qtr; +18% GST. No free trial. Meta message charges extra.; indicative, checked Sept 2026
Before you move, check three things. First, template and broadcast messages need prior opt-in from customers, so start collecting it now. Second, ask your provider whether your existing number can keep working in the WhatsApp Business app alongside the API; if not, plan the switch for a quiet week. Third, compare total monthly cost at your real message volume, not just the plan fee.
A simple seven-day plan
- Day 1: Complete the business profile and upload the catalogue with current prices.
- Day 2: Create quick replies for your ten most-typed answers and set up labels.
- Day 3: Switch on Meta Business Agent for new customers only, with clear handover rules.
- Days 4 to 7: Test from another phone, read every AI-handled chat, and correct wrong answers.
- End of month one: Decide whether to widen the audience, pay for more replies, or keep the agent limited.
WhatsApp automation is one piece of a larger picture. If you want to see where it fits among other AI options for your sector and budget, AI Marga’s software generates a sector-specific AI roadmap for ₹1,999. Either way, get the free basics above right first; they make every later tool work better.
Frequently asked questions
Is the WhatsApp Business AI assistant free in India?
The WhatsApp Business app is free, and Meta Business Agent is free up to a monthly allowance of AI replies. More replies need a paid Meta One plan, which Meta launched in September 2026. Meta's public pages did not show Indian rupee prices for the business tiers at the time of writing, so check the current offer inside the app before you subscribe.
Can Meta Business Agent reply in Hindi and other Indian languages?
At the India launch in May 2026, Meta said the assistant works in Indian languages. Quality still varies with Hinglish, mixed scripts and local terms, so test it with real customer messages in the languages your customers use and correct wrong answers in the first few weeks.
Can I stop the AI from replying to my regular customers?
Yes. Meta lets you choose who the agent responds to - everyone, only new customers, or customers who come from your ads. You can also set when it hands a chat to you, step into any chat yourself, or switch the agent off completely.
Do I need the WhatsApp Business API to use AI on WhatsApp?
No. Meta Business Agent runs inside the ordinary WhatsApp Business app with no coding. An API provider becomes worth it when you need messages triggered by other software, regular campaigns to large opted-in lists, a shared team inbox with reports, or an AI agent connected to your order or CRM data.
Should I tell customers they are chatting with an AI assistant?
Yes. Say it plainly in your greeting message and explain how to reach a person. It sets the right expectations, reduces frustration when the assistant cannot help, and fits the spirit of India's data protection rules, which expect clear notice about how customer data is used.
