AI for professional firms: better first drafts, confidentiality intact

Where AI helps small law, HR, recruitment and design firms in India: first drafts, summaries, CV screening and client intake, with confidentiality intact.

Published 1 October 2026

Small law, HR, recruitment, company-secretarial and design firms sell judgement, but much of their time goes into first drafts, formatting, searching old files and reading long documents. AI is strong exactly there. Its two big risks in this sector are just as clear: client confidentiality, and confident output that is wrong, such as case citations that do not exist.

Where AI helps, by type of firm

Law firms and independent advocates

  • Summarising case files, contracts and judgments; pulling out key dates, obligations and limitation periods; comparing versions of a draft.
  • First drafts of standard agreements, notices and letters built from your own templates.
  • Research over Indian case law in a tool built on a legal database, rather than a general chatbot.

HR, recruitment and payroll firms

  • Job descriptions, offer letters and policies, including POSH policies for clients.
  • Parsing and ranking CVs against a role when one opening draws hundreds of applications, with a person making every shortlisting decision.
  • Revising policies and salary structures for the four Labour Codes that came into force on 21 November 2025, with every AI draft checked against the codes and the relevant state rules.

Design, architecture and interior studios

  • Mood-board variations, early concept sketches and client presentation decks.
  • Summarising client feedback rounds into a revised brief, and drafting specifications from your standard formats.

Every firm

  • Proposals, scopes of work and reports drafted from past work; meeting summaries.
  • Client intake: a form creates the client in a CRM such as Bigin, drafts the engagement letter from your template and sends it for e-signature, with Zoho Flow or a similar tool linking the steps.

HR firms that also run payroll for clients will meet AI inside their HR software: Keka offers job-description generation and CV-to-JD match scoring, and greytHR includes an AI assistant on all plans.

What to try first

  1. A document-grounded notebook with public material (free). Load bare acts, the Labour Codes or published judgments into Gemini Notebook and ask questions that are answered only from those sources, with citations. No client data is needed.
  2. One business-tier seat. Claude Team or ChatGPT Business for a partner or senior associate, with a one-page policy on masking client names and identifiers.
  3. Templates before prompts. Give the assistant your own templates and anonymised past drafts and ask it to adapt them. The output is far more reliable than drafting from a blank prompt.
  4. Pay per use for legal-specific work. ManuWorks.ai charges per credit with no subscription, so you can test it on a real matter before committing.
  5. Automate intake once your standard engagement letter is settled: form, CRM, engagement letter, e-signature.

What to avoid

  • Citing anything you have not read. AI tools produce plausible but non-existent case citations. Read every judgment you rely on.
  • Privileged documents in consumer tools. Communications between advocate and client are protected under the Bharatiya Sakshya Adhiniyam, 2023, and advocates owe duties of confidentiality. Use tools with clear data terms, and mask identifiers.
  • Marketing that breaks Bar Council rules. Bar Council of India rules prohibit advocates from soliciting work or advertising beyond limited permitted information. AI-written posts and website copy need checking.
  • Letting AI reject candidates. Screening scores are a sorting aid. Check them for bias and have a person make every decision.
  • Handing over AI-generated designs without checking rights. Copyright in AI-generated work is unsettled in India, and disputes over training data are before the courts, for example ANI v OpenAI in the Delhi High Court. Say in client contracts how you use AI and who owns the output; stock and font licences still apply.

Confidentiality and the DPDP Act

Client, candidate and employee data are personal data under the DPDP Act, 2023 and DPDP Rules, 2025, with most duties applying from 13 May 2027.

  • Recruitment firms hold large numbers of CVs. Delete them once the purpose is served, unless the candidate agreed to stay in your database.
  • Record which tools hold client documents and who can access them.
  • Mention AI use in engagement letters, and prefer tools whose terms keep your data out of training.
  • Check where each tool stores data and how long it keeps uploads and chat history.

AI Marga’s software generates a written AI roadmap for your firm from a 10-minute questionnaire, for ₹1,999. No person writes or reviews it.

AI use cases worth starting with

Summarise and first-pass review contracts and case files with AI

Use a legal AI workspace or business-tier assistant to summarise long contracts and case files, extract key dates and obligations, compare versions and flag unusual clauses against a checklist. A qualified professional reviews every output; confidential client material stays in tools with appropriate data terms.

Easy: the owner can set it up ~1 week to value

Typical tools: ManuWorks.ai, Claude (Pro, Max, Team), ChatGPT Business (formerly ChatGPT Team), Adobe Acrobat AI Assistant

Draft proposals, reports and presentations from templates with AI

Use the AI built into the office suite to draft proposals, scopes of work, client reports and slide decks from the firm's templates and past work, then refine and verify. Frees senior time for review rather than first drafts.

Easy: the owner can set it up ~1 week to value

Typical tools: Microsoft 365 Copilot Business, Google Workspace with Gemini (Business Starter, Standard, Plus), ChatGPT Business (formerly ChatGPT Team), Canva

Automate client intake, engagement letters and e-signatures

Replace email back-and-forth with an intake form that creates the client in a CRM, drafts the engagement letter from a template, sends it for e-signature and sets up the first tasks, using no-code automation between the tools.

Moderate: some setup ~3 weeks to value

Typical tools: Bigin by Zoho CRM, Zoho Flow, Zoho Sign, HubSpot CRM (Free and Starter)

Draft job descriptions and shortlist candidates faster

Use an applicant tracking system with AI to draft job descriptions, parse CVs and rank candidates against the role, while a person makes every shortlisting and rejection decision. Useful when a single opening attracts hundreds of CVs from job portals.

Easy: the owner can set it up ~2 weeks to value

Typical tools: Zoho Recruit, Keka HR, ChatGPT Business (formerly ChatGPT Team)

Turn SOPs and policies into a question-answering assistant for staff

Upload SOPs, product manuals, price lists and policy documents into a document-grounded AI notebook so new and existing staff can ask questions and get answers with citations to the source document. Cuts time senior staff spend answering the same internal questions and speeds up onboarding.

Easy: the owner can set it up ~2 weeks to value

Typical tools: Gemini Notebook (formerly NotebookLM), Google Workspace with Gemini (Business Starter, Standard, Plus), ChatGPT Business (formerly ChatGPT Team)

Give staff a business-grade AI assistant for drafting and summarising

Provide a business-tier AI assistant for emails, letters, quotations, SOPs, meeting summaries and spreadsheet formulas, with a one-page usage policy (what data may and may not be pasted). Business tiers keep company data out of model training by default, unlike many free consumer accounts.

Frequently asked questions

Can I use ChatGPT for legal research in India?

Use general assistants for drafting and summarising, not as a source of law. They can invent citations and may not know recent changes. For research, use a tool built on an Indian case-law database, and read every judgment before you cite it.

Is client data safe in Claude or ChatGPT business plans?

Their business tiers do not use your content for model training by default, which is a big step up from free accounts. You still owe clients confidentiality: mask names where you can, check retention settings, and say in your engagement letter that you use AI tools.

Can AI shortlist CVs for my recruitment clients?

It can parse and rank CVs against a job description, which helps when one opening draws hundreds of applications. A person should make every shortlisting and rejection decision, and you should check from time to time whether the ranking disadvantages any group.

Who owns a design made with AI?

The legal position on copyright in AI-generated images and designs is unsettled in India. State in client contracts how you use AI tools and who owns the output, and keep stock-asset and font licences in order.

Can an advocate use AI to write blog posts or social media content?

Drafting is fine, but Bar Council of India rules prohibit advocates from soliciting work or advertising beyond limited permitted information. Keep posts informational, avoid claims about results, and review everything before publishing.
