AI for hospitality: faster replies, better reviews, tighter food cost
How Indian restaurants, hotels, homestays and travel agencies use AI for WhatsApp bookings, review replies, menus, food cost and itineraries, and what to avoid.
Published 1 October 2026
Hospitality businesses answer the same questions again and again: is there a table at eight, is the room available on Saturday, how do I get there, is this dish spicy. Enquiries peak exactly when staff are busiest, reviews decide who gets the next booking, and staff turnover means knowledge keeps walking out of the door. AI helps with the repetitive talking and writing. Cooking, hosting and last-minute problem-solving stay with people.
Where AI helps
Restaurants, cafés and cloud kitchens
- Answering menu, timings, location and table-booking questions on WhatsApp, with staff confirming bookings.
- Writing menu descriptions, festive offers and social posts, in more than one language for local and tourist guests.
- Controlling food cost: a POS with recipe mapping deducts ingredients automatically and flags the gap between expected and actual stock. Petpooja’s Purchase Manager compares supplier prices and builds the cheapest purchase cart.
- Drafting replies to Google and delivery-app reviews.
Hotels, guest houses and homestays
- Answering room availability, rates, check-in rules and directions, and handing booking requests to staff.
- Replying to Google and OTA reviews in the reviewer’s language.
- Writing room descriptions for OTA listings, checked against what the room actually has.
Travel agencies and tour operators
- Drafting day-wise itineraries, inclusions, exclusions and quote emails from your own package templates and supplier rates, then checking availability and prices before sending.

What to try first, cheapest first
- Google Business Profile (free). Correct hours, menu or room photos and phone number. Reply to every review with an AI-drafted response that you approve.
- WhatsApp Business app (free). Put your menu, rooms or packages in the catalogue, save quick replies, and switch on Meta Business Agent for menu, timings, rates and directions. It is free only up to a monthly allowance of AI replies; more replies need a paid Meta One plan. Staff confirm every booking.
- Menu and festive posts (free or cheap). Draft copy with ChatGPT, design in Canva, translate for your guests, and check prices, allergens and veg/non-veg markings before publishing.
- Turn on inventory in your POS if you already have one: map recipes, enable auto-deduction and read the variance report weekly.
- Travel agents: build a small set of template itineraries and let AI adapt them for each enquiry.
- Move to a WhatsApp API provider such as Interakt or WATI when several staff members handle chats.
What to avoid
- Fake or incentivised reviews. Never have AI write reviews, and never offer discounts for them. Under consumer-protection rules this can count as misleading advertising or a dark pattern.
- Default service charge. The CCPA’s July 2022 guidelines say no hotel or restaurant may add service charge automatically or by default, must tell guests it is voluntary, may not collect it under another name, and may not add it to the food bill and charge GST on the total. The Delhi High Court upheld this position in March 2025. Check AI-drafted bill templates and menu notes.
- Wrong allergen or veg/non-veg information. AI-written menu text must match what the kitchen serves. Food businesses need FSSAI registration or a licence.
- Outdated tax in rate cards. From 22 September 2025, GST on hotel rooms at or below a per-night value threshold moved to a lower rate without input tax credit, and restaurant rates depend on whether the premises is “specified”. AI tools trained on older material quote old rates, so confirm them before any rate card or bill template changes. Travel agencies must apply TCS on overseas tour packages under the Income-tax Act, 2025.
- A bot promising availability. Unless it is connected to your booking system, it cannot know.
Guest data and the DPDP Act
Guest IDs, passport copies and phone numbers are personal data under the DPDP Act, 2023 and DPDP Rules, 2025, with most duties applying from 13 May 2027.
- Move ID copies out of staff phones and WhatsApp chats into your property system, and delete them when no longer needed.
- Report foreign guests through the FRRO portal (Form C). Under the Immigration and Foreigners Act, 2025, this now also covers OCI cardholders.
- Send offers only to guests who opted in.
- When you use AI to draft review replies, never mention a guest’s booking details or stay.
AI Marga’s software generates a written AI roadmap for your restaurant, hotel or agency from a 10-minute questionnaire, for ₹1,999.

Frequently asked questions
Can the WhatsApp AI take table or room bookings?
Meta Business Agent can answer questions about the menu, rates and directions and capture booking requests with date, time and number of guests. Have staff confirm each booking, because the bot cannot see live table or room availability unless it is connected to your system.
Is it okay to reply to Google reviews with AI?
Yes, as long as a person approves each reply and it is specific, polite and honest. For complaints, apologise and offer a way to resolve the issue offline. Never post fake reviews or offer discounts in exchange for reviews.
Can our billing software add service charge automatically?
No. CCPA's 2022 guidelines say hotels and restaurants may not add service charge automatically or by default, must tell guests it is voluntary, and may not collect it under another name. Check every bill template and AI-drafted menu note for this.
Can AI help a travel agent make itineraries?
Yes. Give an AI assistant your own package templates, supplier rates and inclusions, and it drafts day-wise itineraries and quote emails in minutes. Check availability, prices, visa details and TCS on overseas packages before sending anything to a client.
Is Petpooja's AI purchase feature an extra cost?
Petpooja lists its AI-powered Purchase Manager as an add-on offered free inside the POS. The POS plans themselves are sold on quote, so ask for current pricing during a demo.
