AI for clinics: lighter front desk, faster notes, protected patient data
Practical AI for Indian clinics and labs: WhatsApp appointments, AI scribes for visit notes, patient instructions in local languages and patient-data rules.
Published 1 October 2026
In most clinics the pressure points are the phone at reception, the doctor’s typing between patients and the patients who do not turn up. AI tools can take load off all three. They should not answer medical questions, and they never replace the doctor’s judgement or signature.
Where AI helps a clinic, and where it must not
Appointments and routine questions. Patients request slots on WhatsApp and get confirmations and reminders automatically. Questions about timings, fees, parking and test preparation get instant answers. Symptoms, reports and anything clinical go to staff or the doctor.
Visit notes and prescriptions. An ambient AI scribe listens to the doctor–patient conversation, with the patient informed, and drafts notes and a prescription in the EMR. The doctor reviews, corrects and signs. EkaScribe works in more than 20 languages; HealthPlix sells an ambient scribe separately from its EMR.
Report cover notes. For labs and diagnostic centres, AI can draft a plain-language note explaining what a report covers. The doctor or pathologist approves it before it reaches the patient.
Instructions in the patient’s language. Fasting rules, dosage timings and after-care sheets can be translated into Hindi, Marathi, Tamil or other languages, with voice notes for patients who prefer to listen. The government’s Bhashini app is free for translation and speech. A doctor or trained staff member approves each version.
Review replies. AI drafts polite replies to Google reviews. The reply must not confirm that the reviewer was a patient or mention anything about their treatment.
Insurance paperwork. Details from TPA forms and bills can be extracted into your system, with staff checking every field.

What to try first, cheapest first
- Google Business Profile (free). Correct hours, phone number, services and photos. This is how many new patients find a clinic.
- WhatsApp Business app (free). Set an away message, quick replies for timings, fees and test preparation, and labels such as “new”, “follow-up” and “report pending”. Meta Business Agent can take routine questions. It is free only up to a monthly allowance of AI replies, with more through paid Meta One plans. Tell it plainly not to answer medical questions.
- Trial an AI scribe. EkaScribe’s free plan is capped at a small number of patient visits a day, enough to judge note quality on consenting patients for a week or two.
- Clinic software if you are still on paper. Reminders, EMR and ABDM integration come together in tools such as Ray, EkaDoc or HealthPlix.
- Standard instruction sheets in two or three languages for your most common procedures and tests, approved by the doctor.
What to avoid
- Bots giving medical answers. No chatbot, however good, should triage symptoms or interpret reports for patients.
- Self-promotion in AI-written posts. The NMC’s 2023 Professional Conduct Regulations were put in abeyance, so the Code of Medical Ethics Regulations, 2002 still apply: soliciting patients and self-advertisement are unethical. “Best doctor in town” posts and AI-polished patient stories cross that line. The Drugs and Magic Remedies (Objectionable Advertisements) Act, 1954 also restricts some treatment claims.
- Anything that hints at sex determination. For ultrasound centres under the PCPNDT Act, no message, bot reply or post may touch it.
- Identifiable patient data in public AI assistants. Use clinic tools whose data terms you have read, or remove names, phone numbers and ID numbers first.
- Tele-visits outside the rules. The Telemedicine Practice Guidelines (2020) govern how doctor and patient are identified and which medicines may be prescribed remotely.
Patient data and the DPDP Act
Every clinic, whatever its size, answers for the patient data it holds under the DPDP Act, 2023 and DPDP Rules, 2025, with most duties applying from 13 May 2027. Health data is not a separate legal category, but a leak harms patients more than almost any other.
- Give a short notice at registration and take opt-in for WhatsApp reminders.
- Ask scribe and EMR vendors where audio and notes are stored, how long they are kept and whether they are used to train models.
- For patients under 18, take a parent’s consent.
- Keep ID and report copies out of staff members’ personal WhatsApp.
- ABDM’s ABHA IDs let patients share records with consent, and many clinic tools now integrate with it.
AI Marga’s software generates a written AI roadmap for your clinic from a 10-minute questionnaire, for ₹1,999. No person writes or reviews it.
AI use cases worth starting with
Book appointments and cut no-shows with WhatsApp reminders
Let patients request appointments on WhatsApp and send automatic confirmations, reminders and follow-up visit alerts from the clinic software. Start with the free WhatsApp Business app and move to clinic software or an API provider when volumes grow.
Easy: the owner can set it up ~1 week to value
Typical tools: WhatsApp Business app (with Meta Business Agent), Ray by Practo, Eka Care EkaScribe and EkaDoc EMR, Interakt
Use an AI scribe to draft visit notes and prescriptions
An ambient AI scribe listens to the doctor–patient conversation (with the patient informed) and drafts clinical notes and a prescription in the EMR, which the doctor reviews, corrects and signs. Reduces typing time and improves record completeness; clinical responsibility stays with the doctor.
Moderate: some setup ~2 weeks to value
Typical tools: Eka Care EkaScribe and EkaDoc EMR, HealthPlix EMR
Give patients care instructions in their own language
Create standard after-care, test-preparation and medication-timing instruction sheets and voice notes in the languages patients speak, using AI translation and text-to-speech, with a doctor or trained staff member approving each version before use.
Easy: the owner can set it up ~2 weeks to value
Typical tools: Sarvam AI APIs, Google Workspace with Gemini (Business Starter, Standard, Plus), Bhashini (National Language Translation Mission)
Reply to every Google review quickly with AI-drafted responses
Monitor Google Business Profile reviews and use an AI assistant to draft polite, specific replies (and apologies with a resolution path for complaints) that a person approves. Keeps the profile active and signals responsiveness to prospective customers. Never offer incentives for reviews or post fake ones.
Easy: the owner can set it up ~1 week to value
Typical tools: Google Business Profile, ChatGPT (Free, Go, Plus), Google AI Pro (Gemini app subscription)
Answer repeat customer questions on WhatsApp automatically
Set up the business profile, catalogue, quick replies and the built-in Meta Business Agent in the free WhatsApp Business app so routine questions (timings, prices, availability, location, booking) are answered instantly, day and night. For a simple FAQ bot this removes the need to pay an agency or buy an API platform; move to a WhatsApp API provider only when you need multiple agents, broadcasts at scale or CRM integration.
Easy: the owner can set it up ~1 week to value
Typical tools: WhatsApp Business app (with Meta Business Agent)
Frequently asked questions
Can a WhatsApp bot answer my patients' medical questions?
It should not. Use the bot for timings, fees, appointments and test preparation, and route anything about symptoms, reports or medicines to your staff or the doctor. Write that rule into the bot's instructions and check its replies regularly.
Is an AI scribe safe to use in my OPD?
Treat it as a drafting aid. It listens with the patient's knowledge and drafts notes and prescriptions that you review, correct and sign; clinical responsibility stays with you. Before choosing one, ask where the audio is stored, how long it is kept and whether it is used for training.
Can we post patient success stories written with AI?
Be careful. The Code of Medical Ethics Regulations, 2002 treat soliciting patients and self-advertisement by doctors as unethical, and some treatment claims are restricted by law. Informational posts about conditions, timings and preparation are safer than stories that promote a doctor.
Does my clinic software need ABDM integration?
ABDM lets patients use ABHA health IDs to share records with consent, and clinic tools such as Ray, EkaDoc and HealthPlix offer integration. It is worth choosing software that supports it, even if you start using it later.
What should a small clinic spend on AI first?
Often nothing. The WhatsApp Business app and Google Business Profile are free and cover bookings, reminders and reviews. The first paid step is usually clinic software with reminders, followed by an AI scribe if documentation eats a large part of your day.
